Data Entry Clerk
  • Classification:Hourly, Non-Exempt, Part-Time

Job Knowledge, Skills and Abilities

Enter customer orders received by inside sales in a timely manner.

Essential Functions

  • Enter sales orders.
  • Proof-read orders, make revisions if necessary.
  • Print and send order acknowledgements.
  • Notify the manufacturing plants of “Hot” and same day orders and follow the orders through shipment.
  • Provide order and invoice copies as requested by customers.
  • Answer incoming sales calls
  • Other duties as assigned.

 

Supervisory Responsibilities

None.

Qualifications & Requirements

  • High School diploma and a year administrative experience.
  • Good organization skills and able to communicate effectively with others.
  • Must be proficient with Microsoft Word and Excel. AS400 a plus.
  • Strong work ethic with a “make it happen” attitude.

Physical Requirementse

Low physical effort required to sit for extended periods, stand at files, bend, stoop, lift, and walk. Average lift is less than 5 lbs. This position requires the ability to use a keyboard, monitor, and phone; and the ability to communicate verbally with others.

Inside average office environment with average office noise levels. No personal protective equipment required.

Job Knowledge, Skills and Abilities

Maintains records of financial transactions; posting transactions, ensure legal compliance. Manages specific legal related issues, working closely with the executive management team. Confidentiality, excellent organizational skills and accuracy are important qualifications for this position, as well as good customer relations and the ability to communicate clearly. The ideal candidate for this position is a skilled negotiator, progressive analytical thinker, clear communicator, is reliable and is committed to consistently meeting deadlines.

Essential Functions

  • Develops system to account for financial transactions
  • Maintains subsidiary accounts by verifying, allocating, and posting transactions
  • Balances subsidiary accounts by reconciling entries
  • Maintains historical records by filing documents
  • Prepares reports by collecting, analyzing, and summarizing account information and trends
  • Complies with federal, state, and local legal requirements by studying requirements; enforcing adherence to requirements; filing reports; advising management on needed actions
  • Analyze the timing, legitimacy, percentage of responsibility of legal cases
  • Tactfully negotiate with legal and insurance firms
  • Post customer payments by recording checks, ACHs, wires, or credit cards
  • Process adjustments for bank charges, authorized deductions, and unapplied payments
  • Resolve unauthorized deductions taken on payments
  • Contact payers regarding past due invoices
  • Present delinquent accounts report to management
  • Distribute monthly account statements
  • Process all outbound ACH and wire payments to vendors
  • Other duties as assigned

Qualifications & Requirements

  • Develop standards, analyze information, deal with complexity and report research results
  • Strong data entry skills
  • High school diploma, 5+ years in Bookkeeper position
  • Knowledge of general accounting principles
  • Proficiency in MS Office with extensive knowledge of Excel and Outlook. AS400 and Peachtree a plus
  • Ability to interact with customers to resolve outstanding issues
  • High degree of accuracy, attention to detail, and confidentiality
  • Ability to work independently or as a team member
